Records Requests

The Sun Prairie Area School District Board of Education shall allow persons to have access to the Sun Prairie Area School District (“District” or “SPASD”) records in accordance with District Policy KBG, Access to Public Records, and implementing procedures, and in accordance with state law. According to Wis. Stat. § 19.32(2), “Record” means any material on which written, drawn, printed, spoken, visual, or electromagnetic information or electronically generated or stored data is recorded or preserved, regardless of physical form or characteristics, that has been created or is being kept by an authority. The District maintains records in accordance with District Policy EHA, Data Management, which is aligned to the State of Wisconsin General Record Schedule for Wisconsin Public School District and Related Records.

The District will process, produce, and respond to public records requests during the hours of 7:30 a.m. until 4:00 p.m. Monday through Friday, (excluding District and legal holidays set forth on the current SPASD calendar) and throughout the summer 7:30 a.m. - 4:30 p.m., Monday through Thursday, and 7:30 a.m. - Noon on Friday. Public Records Fees

The fees for copies of public records shall be in accordance with Board Policy, established procedures, and state law.  Under the Public Records Law, the District may charge for the actual, necessary, and direct costs of copying/reproduction of the records; locating the records, if such costs exceed $50.00; and mailing/shipping the records. 

Photocopies

  • Copying onto one side of an 8 1/2" by 11" - $.10 each
  • Copying onto both sides of an 8 1/2" by 11" - $.20 each

Requests for copies of less than 10 pages may be exempt from this charge.
